Vendor Management Specialist



Reporting to the Director of Market Research Operations, the Primary Research Vendor Management Specialist will be responsible for managing vendors for primary research programs. The VMS will advise case teams on the best primary research vendors for their particular case by identifying vendors, obtaining feasibility and costs and evaluating vendors capabilities. The VMS will present findings to case teams and then execute appropriate agreements.

Primary Responsibilities:

Oversees HAs primary research vendors; managing vendors related to primary research for projects including quote requests and SOWs and supporting the project teams in working with the vendors

  • Manages vendors and process for both qualitative and quantitative projects including:
    - Quote requests
    - SOWs
    - Tracking vendor usage
    - Obtaining feedback from teams on vendors
  • Helps identify areas of expertise or geography where new vendors may be needed and works with Director of Market Research Operations to execute on getting new vendors in place
  • Supports qualitative and quantitative primary research programs for project teams
    - Works directly with Director of Market Research Operations to share learnings and challenges identified during proposal process to help ensure that appropriate vendors are onboarded
    • Understands timeline and deliverable for each project
    • Advises Case Team Leaders (CTLs) on time requirements to onboard vendors for projects
    • Works with CTL to put together vendor request information for qualitative interviews, if needed
    • Determine which vendor(s) should be sent bid requests for projects with qualitative interview
    • Recommend to CTL/team which vendor would be most appropriate for their project
    • Create SOW for project with vendor
    • Ensure SOW is fully executed and tracked in database
    • Gather feedback on vendor at the end of each project and enter feedback into database
  • Establishes and ensures recruitment best practices for teams, for example:
      - Identifies challenges such as time zones, conference conflicts, or seasonal issues that can affect team success in
     recruiting and when working with vendors
      - Advises on best way to keep CTL apprised of recruiting progress
  • Builds and strengthens our pool of vendors for primary research
    - Identifies key areas and works to build upon existing relationships and develop new relationships with potential vendors


  • A successful candidate will have:
     1+ years of experience in a vendor management role
    - A four-year college degree
    - Expertise with Microsoft Office, including Word, PowerPoint, Outlook, and Excel
    - Professionalism
    - Ability to work in a face-paced environment and manage multiple tasks
    - Accuracy and exceptional attention to detail
    - Excellent written and oral communication skills
    - Exceptional organizational skills and ability to prioritize
    - Ability to work independently, yet be a strong team player
    - Demonstrated strong work ethic
    - 1+ years of experience in health care primary research (highly desirable)
